Zoom is an essential communication tool at our firm, serving as both our VOIP (Voice over Internet Protocol) phone system and our virtual meeting platform. It allows seamless communication between team members, clients, and partners through voice calls, video conferencing, and integrated scheduling tools.

Usage: How We Use Zoom

Users schedule or join virtual meetings via the Zoom app or web portal, utilizing features like breakout rooms and webinar hosting.

  1. VOIP Phone System:
    • Every employee has a Zoom Phone setup, allowing them to make and receive calls from their computer, desk phone, or mobile device.
    • Users can customize their phone settings to suit their personal preferences, including call forwarding, voicemail options, and business hours.
    • Each office location can set up specific call routing and voicemail rules to ensure smooth operations and client communication.
    • Zoom integrates with other business tools to log calls and track communications for efficiency and compliance.
      • How to Update Your Voicemail in Zoom Phone (Zoom VoIP)
        • Open Zoom and go to the Zoom Web Portal: Visit zoom.us and sign in with your Zoom account.
        • Navigate to the Phone tab: In the left-hand menu, click Phone.
        • Go to Settings: Select the Settings tab within the Phone section.
        • Scroll to “Voicemail & Greeting”: Find the Greeting & Leave Voicemail Instructions section.
        • Edit Your Voicemail Greeting: Click Edit to record or upload a new voicemail greeting. You can choose to record a greeting directly, upload an audio file, or use text-to-speech depending on your preferences.
  2. Zoom Meetings:
    • Our firm relies on Zoom for virtual meetings with clients, team members, and external partners.
    • It supports video, audio, screen sharing, and chat, ensuring clear and professional communication.
    • Advanced features such as breakout rooms, live transcription, and recording options enhance collaboration.
  3. Zoom Scheduler:
    • Employees use Zoom Scheduler to create meeting links and schedule virtual calls with clients and colleagues.
    • This tool integrates with Outlook and other calendar systems, making it easy to manage availability and prevent scheduling conflicts.
    • Meeting invitations automatically include the Zoom link, ensuring a streamlined and professional scheduling process.
